Privacy notice

This explains what SysMicro collects when you contact us, why we collect it, where it is kept, and how to have it removed. It is written to be read, not to be survived.

01What we collect

We only collect what you send us. There is no tracking on this website and no profile is built about you.

When you use the contact form

  • Your name and email address, which are required.
  • Your company, phone number and the subject you selected, if you choose to give them.
  • The message you write.
  • The language you were reading the site in, so we reply in the same one.
  • Your IP address, used only to limit how many submissions come from one source. It is not stored with your enquiry and is not used to identify you.

When you message us on Facebook or Instagram

  • The messages you send us, and our replies.
  • The name and profile picture Meta shows us, and an identifier Meta generates for you. That identifier is specific to our page — it cannot be used to find you anywhere else.
  • Your phone number or email address only if you choose to share them with us in the conversation.
  • Meta does not give us your phone number or email address automatically, and we do not try to obtain them by other means.

When you email or call us

  • Whatever you choose to tell us, and our correspondence with you.

02What we do not do

This section is short because the list is short, and every line on it is a decision we made deliberately.

  • We set no cookies. Not for analytics, not for advertising, not at all. If you switch the site between light and dark, that single preference is saved by your own browser and never sent to us.
  • We load no third-party scripts. No analytics service, no advertising pixel, no session recorder, no social tracking.
  • We do not sell, rent or trade your information, and we do not share it for anyone else's marketing.
  • We do not use a third-party form service. The contact form posts to our own server.
  • We do not send marketing email to people who only enquired. If you write to us, you get an answer, not a mailing list.

03Why we collect it

To answer you, and to keep track of the conversation so you do not have to repeat yourself to a colleague. Nothing else.

  • To reply to your enquiry and follow up on it.
  • To keep a record of what was discussed, so anyone on our side who picks up your enquiry has the context.
  • To prevent abuse of the contact form.

04Where it is kept, and who can see it

On infrastructure we run ourselves, rather than in someone else's product.

  • Enquiries are stored in our own customer-relationship system, which runs on a server we control in Düsseldorf, Germany.
  • Email is delivered through our own mail account on the sysmicro.net domain, not through a marketing platform.
  • Access is limited to SysMicro colleagues who need it to answer you.
  • Traffic to this site is encrypted in transit.

05Messages sent through Facebook and Instagram

If you message us on Meta's platforms, Meta handles that message before it reaches us, under Meta's own privacy policy — which we do not control.

  • We receive those messages into the same system that holds our other enquiries, so your conversation stays in one place.
  • Meta's handling of your data on its own platforms is governed by Meta's privacy policy, not this one.
  • If you would rather not use Meta's platforms, the contact form and email reach us directly.

06How long we keep it

We keep enquiry records for as long as the enquiry is active and for as long as we may need them to answer questions about the work. You can ask us to delete yours at any time, and we will.

07Your rights, and how to delete your data

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. We do not require you to explain why.

To have your data deleted

  • Email us from the address you contacted us with, or reply in the same Facebook or Instagram conversation, and ask us to delete your data.
  • We will delete your enquiry record, our message history with you, and any contact details you gave us.
  • We will confirm once it is done.
  • We may keep a minimal record that a deletion was requested and carried out, because that is the only way to prove we honoured it.

08Changes to this notice

If we change how we handle your information, we will change this page and update the date at the top of it.

Questions about your data

Write to us and a person will answer. Please say what you would like us to do — tell you what we hold, correct it, or delete it.
